1. Who we are
Strategic Solvers is a trade name of EXL Business Consulting LLC, a Delaware limited liability company operating from South Florida ("Strategic Solvers," "we," "us," or "our").
We build and operate AI-powered phone systems for home-service contractors. Our systems answer inbound telephone calls on behalf of our business clients, gather information from callers, schedule appointments, and send appointment-related text messages.
This policy explains how we handle information in two distinct roles:
- As a business, when you visit our website or contact us about our services.
- As a service provider, when we process calls and messages on behalf of a contractor who has engaged us. In that role, the contractor determines the purposes for which the information is used, and their own privacy practices also apply.
2. Information we collect
Information you give us directly
- Name, business name, phone number, and email address when you contact us, book a consultation, or message us on WhatsApp.
- Information you provide during a demonstration, sales conversation, or onboarding.
- Billing and payment information, which is processed by our payment processor. We do not store full payment card numbers.
Information collected when our system answers a call
When our AI agent answers a call placed to one of our contractor clients, we may collect:
- The caller's telephone number and the time, date, and duration of the call.
- Information the caller provides during the conversation, such as their name, service address, the work they are requesting, and their preferred appointment time.
- An audio recording and/or written transcript of the call, where recording is enabled and permitted by law.
Information collected automatically on our website
- Basic technical data such as browser type, device type, referring page, and pages viewed.
- We do not use our website to build advertising profiles of visitors.
3. Mobile information and SMS
No mobile information will be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes.
Text messaging originator opt-in data and consent are never shared with any third party for marketing purposes. Mobile phone numbers are used only to deliver the appointment confirmations, reminders, and service-related replies described in this policy, and are disclosed only to the subcontracted communications providers strictly necessary to transmit those messages.
Our text messages are conversational and transactional. They are sent in response to a call the recipient placed to a contractor's business, and they relate to that specific inquiry, such as confirming a requested estimate appointment or providing the details of a booking.
Message frequency varies and depends on the recipient's interaction with the contractor. Message and data rates may apply. Recipients can reply STOP at any time to stop receiving messages, or HELP for assistance. Opting out of text messages does not prevent a person from calling the contractor or receiving service.
Full messaging terms are set out in our Terms of Service.
4. Call recording and transcription
Where enabled, calls handled by our AI agent may be recorded and transcribed so that the appointment details are captured accurately, the contractor has a record of the inquiry, and we can improve the quality of the system.
Florida is a two-party consent state for the recording of telephone communications. Where recording is enabled, callers are notified at the start of the call, and a caller who does not wish to be recorded may decline and request a transfer or a callback.
Recordings and transcripts are made available to the contractor whose line was called. We do not sell them, and we do not use the contents of a caller's conversation to market unrelated products to that caller.
5. How we use information
| Purpose | Examples |
|---|---|
| Deliver the service | Answer calls, qualify inquiries, book appointments, send confirmations and reminders |
| Communicate with clients | Respond to inquiries, provide support, send service notices and invoices |
| Improve the system | Review call handling quality, correct errors, tune the agent's responses |
| Billing | Process payments and maintain records of amounts due |
| Legal and safety | Comply with law, enforce our agreements, prevent fraud and abuse |
We do not sell personal information, and we do not use caller information for third-party advertising.
6. How we share information
We share information only as follows:
- With the contractor whose line was called. This is the purpose of the service. The caller's details and appointment are delivered to that business.
- With service providers who operate the system on our behalf, including our telephony carrier, voice and language processing providers, calendar and scheduling providers, customer relationship management software, and payment processor. These providers may use the information only to perform services for us.
- When required by law, including in response to a valid subpoena, court order, or other lawful request, or to protect the rights, safety, or property of any person.
- In a business transfer, such as a merger, acquisition, or sale of assets, subject to this policy continuing to apply.
We do not share information with data brokers, and we do not sell or rent contact lists.
7. Data retention
We keep information for as long as it is needed for the purposes described above, and then for as long as reasonably necessary to meet legal, accounting, and dispute-resolution obligations. Call recordings and transcripts are retained for a limited period and then deleted or de-identified. A contractor client may request deletion of their data, and the data of callers to their line, at the end of the engagement.
8. Security
We use commercially reasonable administrative and technical safeguards to protect information, including access controls on the accounts and platforms used to operate the service. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your rights and choices
- Text messages. Reply STOP to any message to opt out, or HELP for assistance.
- Access, correction, and deletion. You may ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Contact us using the details below.
- Callers to a contractor's line. If you called one of our clients and want your information removed, contact us and we will work with that business to address your request.
- Residents of states with privacy statutes, including Florida, California, and others, may have additional rights, including the right not to be discriminated against for exercising them. We honor those rights where they apply.
10. Children's privacy
Our services are directed to businesses and are not intended for anyone under 18. We do not knowingly collect personal information from children.
